1. Purpose

This Data Use Policy explains how AMRP collects, uses, stores, and shares data about members and applicants.

2. Member Data

We collect and use the following data about members:

  • Contact information (name, company, business chair, company description, tagline, headshot photo, email, phone, website, social media and review links).
  • Private details used only within the group: cell phone, mailing address and birthday (month and day).
  • Networking activity statistics (attendance, referrals, personal meetings, business amount, testimonials, guests invited, social media leads).
  • Membership records: date joined, annual dues and whether they have been paid.
  • Sign-in records: the date and time of each sign-in to the Members-Only area and how many times you've signed in, seen only by the Treasurer, to help members get started with the site. We never record which pages you look at.

Use of Data

  • Publicly display basic member contact information.
  • Internally track networking activity statistics.
  • Share testimonials submitted by members.
  • Send members email notices about referrals, slips and group business.
  • Administer and improve our group activities.

3. Applicant Data

We collect information from applicants and from people who ask whether there's a seat for their profession to:

  • Review applications for eligibility.
  • Communicate about application status.

Applicant information is not shared publicly unless membership is granted. It is seen only by our Membership Committee and Leadership team.

4. Data Access and Storage

  • Public member information is displayed on our Website.
  • Private member statistics and reports are viewable only by current members, each signed in with their own email address and password. Our Leadership team also sees membership and renewal reviews and which members have paid dues; check-in, approvals and financial records are handled by our Treasurer.
  • All information is stored securely with administrative safeguards, on our web host's server in the United States. It is never directly available to visitors โ€” only the pages we publish.

5. Data Retention

  • Membership applications are retained for two years.
  • "Is there a seat for you?" inquiries are retained for two years.
  • Member data is retained indefinitely unless removal is requested or membership ends. When membership ends, the member's public profile is removed from the Website right away; their networking activity stays in the group's history and totals.

6. Data Rights

Members may request to:

  • Update or correct their data.
  • Remove their profile from the Website if they leave the organization.
